SYSTEM DESIGN
Mailbox
Both Small Office and WP are structured around the concept of "boxes," each of which performs a different function. Each user can have a personal mailbox, where the system stores your messages. Depending on how your system is installed, you may have a combination of routing, Q&A, ACD, group, directory, ICR or fax boxes.
Routing Box
A routing box is used to direct callers to other mailboxes based on their response to options presented to them.
Q&A Box
Q&A boxes contain up to ten questions for callers, and their answers can be stored by the system in either voice or numerical form for later retrieval.
Fax Box
There are two kinds of fax boxes: fax mail and fax-on-demand. A fax mailbox is like a personal mailbox except it stores fares rather than voice messages. Fax-on-demand allows callers to select from a list of stored documents that the system will automatically fax to them.
ACD Box
An ACD box will queue calls for a predetermined extension or group of extensions. The system can play a specific message to the callers depending on the queue they are in.
Group Box
You can create a box that can send the same message to several people at one time.
Directory Box
The directory box enables callers to listen to a list of system users and then select the user they want to talk to.
ICR Box
ICR boxes are used to gather information from a caller (in the form of dialed digits) and then look for a matching database entry. When a match is found, the information can be spoken back to the caller using a series of prerecorded words and phrases.
Note: To connect DEBUT2 and DEBUT4 to a Comdial Digital Extension, an ATI-D (DSU and DSU II) or an ATI-D-1PT (DXP and DXP Plus) is required. Debut is compatible with other manufacturers' telephone systems.
Voice Mail - Visual Call Management Manage Your Messaging ... and Your Time
In today's hectic world, checking and managing your voice mail is just another item on your list of things to do. And it is usually not the most efficient process in the world--dialing into the voice mail system, wading through messages that don't need immediate response, figuring out complicated telephone key commands. Why not make it easier...as easy as checking your E-mail? That's why Comdial created Visual Call Management (VCM) to help you manage your voice mail--and your time-with maximum efficiency.
VCM displays all your voice messages on a PC screen so that you simply point and click to listen to, delete, forward, compose, and send messages. Plus, administering your mailbox has never been easier.
VCM's user administration screen allows you to record, activate and manage your mailbox greetings, control message delivery and schedules, and adjust call transfer and paging setups. And with advanced features like Call Control, you can view and screen calls as they come in and respond to them however you want: redirect the call, place it in queue, record the conversation, or play a greeting message. VCM even includes a Visual Fax feature that enables on-screen fax management such as viewing, saving, printing, creating and sending.
With VCM, seeing is believing. It's an efficient way to manage and respond to your voice communications. Visual Call Management helps you make the best use of your most precious commodity...your time.
Instant Visual Depiction of Your Mailbox
VCM's graphical screens provide an instant visual depiction of your mailbox. The sender, date sent, time sent, message status, and other information is displayed for each new and saved message in your mailbox. Using icons in the VCM window, you simply point and click to perform all your voice mail functions. You can listen to messages (either over the phone or through your PC's speakers), forward messages, compose and send new messages to individuals or groups, delete messages, and more.
Easy Mailbox Administration
Record, activate and manage your mailbox greetings, adjust mailbox call transfer and messaging schedules, and control your message delivery/paging setups by simply selecting graphical icons and entering information on-screen.
Control Your Incoming Calls
VCM provides powerful call control capabilities by allowing you to select pop-up options that appear each time an incoming call is received. You decide how to handle the call: redirect, screen, record, queue the call--it's up to you. Or, you can play a specific greeting, depending on who the caller is. It's not only a time-saver for you, but your callers--especially your customers--will appreciate being treated with such courtesy.
A Flexible Way to Receive Fares
When you receive voice mail messages with attached fax messages, VCM gives you the flexibility to view each fax on-screen and save it as a file for future reference. Viewing options let you size the view window, zoom in on portions of the fax, and easily jump to a specific fax page. You are able to cut, copy and paste any portion of the fax into other applications, such as Microsoft Word. You can also choose to print the fax on a printer or local fax machine, or send it to a remote, off-site fax machine.
Send Faxes Without Leaving Your Desk
Through a special printer driver, you are able to fax documents created in any Microsoft Windows application directly from your desktop. No special desktop hardware--modem, fax line--is required. Inbound and outbound fares travel through the PBX phone lines, increasing efficiency and eliminating the expense of dedicated phone lines. A Fax Log feature automatically stores information on fares sent from the desktop. The desktop fax feature also includes a default cover page, which is sent with every fax, or you can customize a cover page to suit your needs.
Bringing the Phone to the Desktop PC
Visual Call Management by Comdial is another example of Comdial's commitment to developing solutions that integrate traditional telephone applications with your desktop PC. Together with Comdial's award-winning platforms and Business Solutions suite, Visual Call Management brings unprecedented efficiency to today's office environment.
